Minutes of the St. Mary Catholic School Advisory Council

6pm September 27, 2011

 

Members in Attendance:  Michelle Aho, Kelly Bolduc, Katie Ireland, Tricia MacDonald, Kerri Martin, Athena McGeorge, Suzanne McMahon, = Joe Meloche, Tressa Montgomery, Kim Norman, Rebecca Oakes, Nancy Parsons, , Chr= is Toth , David Wright, Principal Doris Beers, Vice-Principal Wendy Hay, Libra= rian David Eyes, Teachers Hailey Buettner and Mallory Buettner, Karla Serino EA<= /p>

Membership:  = All newly acclaimed members were welcomed to the council by outgoing Chair Tric= ia MacDonald. Everyone introduced themselves around the table.   A motion was put forward by = Tricia to include Athena McGeorge, Joe Meloche and Michelle Aho on the School Advi= sory Council.  Kim Norman seconded.=   Motion passed.

 

Approval of Agenda:  David Eyes motioned to approve the agenda.  Kim Norman seconded.  Motion passed.

 

Approval of May minutes:  Suzanne McMahon motioned to ap= prove the minutes, Kim Norman seconded.  Motion passed.

 

Meeting Dates:&nbs= p; Discussion on what day and time would be the best for Council meetings lead to a decision for every second 6pm Wednesday of the month be meeting nights, 6pm.  Tricia motioned to include Colleen Perry on the Council, as she was only available= if meetings are on Wednesdays.  K= im Norman seconded.  Motion passed.  Colleen Perry will be informed of her election to Council and be asked to sign the confidentiality agreement that all members have signed.

 

Treasurer’s Report:  Outgoing Treasurer Nancy Parso= ns presented a report indicating SAC funds.&n= bsp; Chris Toth asked if this paperwork is considered official.  Nancy explained that a spreadsheet= is presented to her from the school accountant Janet Thieman and that the Treasurer then breaks it down for SAC to see where we have designated monie= s.  It is up to the new Treasurer to p= resent as they see fit. 

Ms. Beers brought to our attention that an amount of m= ilk money was left in the safe over the summer, with an email going to the Chair regarding a deposit. The incoming Treasurer will deal with this.

 

New Business

Election of Executive:  Ms. Beers read a quote from the Constitution indicating that our Chair position is open to Catholics and Non-Catholics alike.  Suzanne McMahon put her name forward for Chair, as did Kerri Martin.  Both stood and stated their experi= ences and a vote was taken by secret ballot.&nbs= p; Ms. Beers and Ms. Hay counted the ballots, and the Ms. Beers announc= ed our new Chair to be Kerri Martin.  Congratulations Kerri!

At this time Tricia MacDonald mentioned our childcare = was arranged through St. Paul Catholic School last year and Suzanne McMahon has volunteered to arrange it for the meetings this year.  Thank you Suzanne.

Kim Norman put her name forward for Vice Chair and aft= er three calls for names she was acclaimed to that position.  Congratulations Kim!

Suzanne McMahon put her name forward for Treasurer.  There was discussion as to a confl= ict of interest regarding Suzanne also running the milk program and the Gingerbread Shop.  The fact that we have a= n independent individual in the office who counts monies before they get deposited and a = system in place for cheque requisitions was mentioned. Michelle Aho put her name forward after the second call for names, and a secret vote lead to a decisi= on for Treasurer.  Congratulations Suzanne!

The position of secretary was then called for three ti= mes and Tressa Montgomery put her name forward.&nb= sp; Congratulations Tressa!

 

Sub-committees:&nb= sp; All members are invited to put their names forward to head committees struck at meetings of the Parent Advisory Council.  The following committees have now = been established.

 

Milk Program run by Suzanne McMahon with committee mem= bers Kim Norman,  Margaret Hawkshaw= and Julie Alexander.  Discussion a= rose regarding the box of skipping ropes and balls sent by the milk provider.

 

Lunches are being organized by the Student Council onc= e they are assembled so we are not striking a lunch committee at this time.  Student Council Teacher Advisor Mr= s. Kelly was not able to attend this meeting but wanted to note that the stude= nts are very excited to make money for items such as sports jerseys and dances.  The Student Council h= as not been elected yet but there was discussion as to having a representative from that council attend the Parent Advisory Council meetings.

Fun Day Committee is being headed by Michelle Aho with Tressa Montgomery.  A meeting = with past members will be set up in the near future.

 

Gingerbread Shop will be run by Suzanne McMahon with K= elly Bolduc. 

Newsletter will be prepared for Principal’s appr= oval by Athena McGeorge.

Volunteer Coordinator=   is now Rebecca Oakes.  = Kim Norman can advise on verifying police checks and volunteer lists as she did this unofficially last year.

 

Playground and School Yard Upgrade Committee is now he= aded by Chris Toth.  Ms. Beers, Suz= anne McMahon, Larry Martin, Nancy Parsons and Kerri Martin are members.

 

Popcorn is not to be sold but only given out for free.=   A committee will be established ba= sed on if popcorn can be made with health conscious products.  Mrs. McDonald will be invited to an upcoming meeting to review the new policies from Healthy Active with us.  Rebecca Oakes would like to be a p= art of Healthy Active.

Santa Claus Parade is on November 27th.  Rebecca Oakes is heading a committ= ee including Tressa Montgomery, Kelly Bolduc and Kerri Martin

 

Parent Involvement Council is a province-wide initiati= ve to bring information to councils.  Tricia MacDonald is willing to continue providing us with informatio= n.

Book Fair the week of November 21st in the library.  Rebecca Oakes is organizing a schedule for parents to volunteer during this event.

 

Fundraiser Committee is headed by Kerri Martin and Nan= cy Parsons.  The chocolate bars a= re being sold by most students and over $3000 has already been returned to the school.  Kerri motioned that u= p to $1000 be spent on prizes to motivate students to sell their boxes of 30 bars equaling a total of $60 which is $30 profit for us.  The motion passed.  October 7th is the dead= line to get money in for the grand prize of a touchscreen tablet, October 12th is the final deadline for all monies to be in for even more prize draws.

 

Safe Schools has a parent member named Mrs. McCann, Mr. Lombardi from Knights of Columbus and Mrs. McDonald

 

Heath and Safety was tab= led due to time restraints.

 

Old Business

&nb= sp;

EQAO:  Results of the Grade 3 and 6 testing were presented to us and the huge improvements were noted by the Principal.  = We should be very proud of our students and the teaching staff!

 

Sound System:  Ms. Beers informed us that we have received many of the componen= ts of the sound system that has been purchased from Riverside Music but it has= yet to be installed.  The system u= sed at Meet the Teacher Night was a loaner.

 

School Yard Upgrade:  The line painting was completed over the summer and payment has = been made.  There are new balls and skipping ropes from the milk program that may be made available.  This committee will meet before th= e next Council meeting and the playground dedication bench and plaque will be discussed.

 

Operating Budget and Principal’s Report:  Tabled due to time restraints
